- Directly from you when you submit a quote request or hire agreement
- When you upload photo identification through our portal

- Automatically through portal usage logs

- Process and manage your equipment hire booking

- Service providers — including our invoicing platform (Xero), email delivery service (Resend), and cloud infrastructure (Supabase/Vercel) — solely to operate our hire portal

All third-party providers are required to handle your data in accordance with applicable privacy laws.
6. Photo identification
Photo ID is collected for identity verification purposes only and is stored securely. It is not shared with third parties except where legally required. You may request deletion of your stored ID at any time by contacting us.

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. Our portal uses industry-standard encryption (HTTPS/TLS) and access controls. However, no internet transmission is completely secure, and we cannot guarantee absolute security.
8. Data retention
We retain your personal information for as long as necessary to fulfil the purposes described in this policy, or as required by law. Hire records are generally retained for 7 years for accounting and legal purposes. You may request earlier deletion of non-essential data by contacting us.
